Guidelines for Sending Nominations

Eligibility

Entry into the Net Green Foundation Earth Awards is open to companies, organizations, and individuals worldwide who contribute to sustainability, climate action, and net-zero initiatives.
Applicants must operate in alignment with sustainable development principles and demonstrate measurable impact in their respective fields.

The Net Green Foundation reserves the right to disqualify any applicant or entrant found to be engaged in activities that are unlawful, unethical, or materially contrary to sustainability principles or that may adversely impact the reputation of the Foundation.

All entrants represent and warrant that their submissions comply with all applicable laws, regulations, and environmental standards in their jurisdiction and that they have obtained all necessary approvals and consents to participate in the Awards.

The Foundation may, at its sole discretion, verify the eligibility and compliance of any entrant at any time during or after the awards process, and reserves the right to reject, disqualify, or remove any entry or winner that does not meet the eligibility criteria.

Submission Requirements

2.1Entrants must submit the official Net Green Foundation Awards Entry Form. By submitting the form the entrants warrant to abide by all the guidelines issued for the awards.
2.2 Each entry must be accompanied by supporting documents, which may include a bio or CV, brochure, project reports, books, videos, and references.
2.3 A soft copy of all supporting documents must be provided for each category.
2.4 Nominations must be submitted in English or Hindi.
2.5 Applicants may submit multiple entries under different categories.
2.6 An entry fee is applicable to all submissions.

2.7 The Foundation reserves the exclusive right to accept or reject any submission in whole or in part, including but not limited to for failure to meet deadlines, accuracy, completeness, or compliance with these guidelines, without any liability or obligation to the entrant.

2.8 By submitting materials, the entrant irrevocably represents and warrants that all submitted information and documents are complete, truthful, accurate, and do not infringe upon the intellectual property or any other rights of any third party, and shall indemnify and hold harmless the Foundation for any breach. All submitted materials, including but not limited to images, reports, and videos, logos must have secured reproduction rights, necessary approvals, and permissions prior to submission.

2.9 Entry fees are non-refundable under any circumstances, including but not limited to entry rejection or withdrawal by the entrant.

Clause 3: Entrant Responsibilities and Representations

3.1 Entrants are solely responsible for ensuring the accuracy and authenticity of all information submitted.

3.2 Entrants hereby indemnify, defend and hold harmless the Net Green Foundation, its officers, directors, employees, agents, and affiliates from and against any and all claims, demands, losses, damages, liabilities, costs, and expenses, including legal fees, arising directly or indirectly from any breach of these guidelines, misrepresentations, or violations of third-party rights in connection with the submitted entries.

3.3 The Foundation reserves the right to disqualify or remove any entry at any stage if it determines, in its sole discretion, that the entry contains false information, infringes third-party rights, or violates any applicable laws or these guidelines.

3.4 Entrants waive any claims against the Foundation arising from the verification, review, or use of submitted materials, and consent to the Foundation’s reasonable actions in relation to compliance investigations.

Clause 4: Publicity and Confidentiality

4.1 Entrants irrevocably grant the Foundation a perpetual, royalty-free, worldwide license to use, reproduce, display, distribute, and publish all submitted materials and related information for any purpose connected with the Awards and the Foundation’s objectives.

4.2 “Sensitive data,” for the purposes of these guidelines, shall mean any personal data or proprietary information designated as confidential by the entrant before submission and specifically identified to the Foundation in writing. The Foundation agrees to treat sensitive data with reasonable confidentiality.

4.2 The Foundation shall have sole control over the use and disclosure of any submitted information, including confidential or sensitive data, and shall have no obligation to limit or restrict such use for any purpose connected with the Awards and the Foundation’s objectives.

4.3 Entrants acknowledge that any confidentiality or privacy concerns shall not restrict or affect the Foundation’s use of submissions in any manner it deems fit.

Clause 5: Award Ceremony and Recognition

5.1 Winners are expected to attend the Award Ceremony in New Delhi on the announced date. Inability to attend must be communicated in writing at least 14 days before the ceremony, and the Foundation may permit representation by a duly authorized proxy at its sole discretion. The Foundation reserves full and unrestricted rights to modify the timing, venue, format, and execution of the Award Ceremony, and may cancel, postpone, or modify the ceremony as deemed appropriate, without incurring any liability.

5.2 Winners shall comply with all publicity and promotional requirements as reasonably prescribed by the Foundation, without additional compensation or approval rights.

5.3 The Foundation will consider reasonable accommodation requests for winners unable to participate physically due to health, travel restrictions, or other valid reasons.

Clause 6: General Terms

6.1 The Foundation reserves the unrestricted right to modify, amend, or revise these guidelines, including but not limited to award categories, criteria, timelines, and all related terms at any time by giving reasonable notice to entrants but without incurring any liability.

6.2 The requirement for proof of identification, award delivery, or any administrative obligations shall be subject to such terms and conditions as the Foundation may impose at its sole discretion.

6.3 The Foundation disclaims all liability for losses, damages, or failure to perform its obligations arising from force majeure or other causes beyond its control, and the Foundation shall have no obligation to reschedule or otherwise compensate entrants.

6.4 Under no circumstances shall the Foundation, its affiliates, officers, employees, representatives, or agents be liable for any direct, indirect, incidental, consequential, special, or punitive damages arising out of or relating to the Awards, even if advised of the possibility of such damages.

6.5 All disputes shall be resolved exclusively by arbitration in New Delhi under the Arbitration and Conciliation Act, 1996.

Clause 7: Submission Address and Communications

7.1 All official entries must be submitted through the channels specified by the Foundation. The Foundation shall not be responsible for entries delayed, lost, or misdirected due to mail or technical failures.

7.2 Entrants shall ensure that all communications and submissions comply with the prescribed formats and addresses, and the Foundation reserves the right to disregard any submissions that do not comply.

Clause 8: Declaration by Participating Organizations

8.1 By submitting an entry, the entrant unconditionally and irrevocably accepts and agrees to comply with all these terms and to release and hold harmless the Foundation from any claims, demands, or liability in connection with the Awards.

8.2 Entrants affirm and warrant that they have all necessary rights and permissions to provide the submitted materials and that none infringe any third-party rights, and agree to indemnify the Foundation against all claims arising therefrom.

8.3 Entrants irrevocably assign and transfer any and all rights in the submitted materials to the Foundation and waive any moral rights or claims for compensation related to such use.
